What is Insurance Verification?
Insurance verification is the process we use to confirm your insurance coverage and determine your benefits for dental treatments before your appointment. This ensures that we can provide you with an accurate estimate of your out-of-pocket costs and avoid surprises after your visit.
Why Do You Need My Insurance Information?
We require your insurance information to:
- Verify that your plan is active and covers dental care
- Determine your coverage limits (e.g., co-pays, deductibles, annual maximums)
- Confirm whether specific treatments are covered under your plan
- Avoid billing issues and ensure accurate estimates for the cost of your care
When Should I Provide My Insurance Information?
To streamline your appointment and avoid delays, please provide your insurance information at least 3 business days before your scheduled appointment. You can submit this during the scheduling process, or if you’re a returning patient, update it through our patient portal.
What Information Do I Need to Provide?
To verify your insurance, we need the following:
- Insurance company name
- Policyholder name (usually the primary insured, but could also be a spouse or parent)
- Policyholder date of birth
- Policy/ID number
- Group number (if applicable)
- Employer name (if insurance is through your employer)
- Secondary insurance details (if applicable)
How Can I Submit My Insurance Information?
You can provide your insurance details via:
- Text (Preferred Method): Send a photo of your dental insurance card (front and back) to 704-663-1800
- Patient Portal: Log in and update your information
- In Person: Bring your card to your appointment (note: we may require full payment if not verified in advance)
Do You Accept My Insurance?
We accept most dental insurance plans, but are out-of-network with most providers, except:
- In-Network: Delta Dental Premiere and Cigna PPO plans
- Out-of-Network: We’ll still file claims for most other plans. Many out-of-network plans provide substantial benefits
Please contact your insurer to confirm our network status, or contact us for guidance.
What Happens After I Provide My Insurance Information?
We will contact your insurance provider to verify your eligibility and benefits. This typically takes 24–48 hours. We’ll notify you if any issues or missing details arise.
Will You Verify My Insurance for Every Visit?
We verify insurance at each appointment if there are changes (new year, employer, etc.). For regular patients, we may verify annually or based on your insurance carrier’s requirements.
What If My Insurance Doesn’t Cover the Full Cost?
We will estimate what your insurance will cover and inform you of any remaining balance so you can review payment options before treatment.
What Should I Do if My Insurance Information Changes?
Please update us as soon as possible through the patient portal or by calling our office. This ensures no disruption in claim processing.
How Can I Make Sure My Insurance Claim Is Processed Correctly?
- Ensure your insurance info is up to date at least 3 business days before your appointment
- Provide any required documents (e.g., referrals, pre-authorizations)
- Understand your benefits and limits ahead of time
What Happens if My Insurance Claim is Denied?
We will contact your insurer to resolve any issues and help with appeals if needed. If you’re responsible for any unpaid amount, we’ll notify you and provide payment options.
What If I Don’t Have Insurance?
Ask us about our payment options or our in-office dental discount plan.
